The Role:

As the Executive Assistant to the Head of Human Resources, you will play a critical role in providing high-level administrative support, ensuring seamless day-to-day operations, and maintaining efficiency across various HR functions. This position requires discretion, excellent organizational skills, and the ability to handle sensitive information with utmost confidentiality.

Key Responsibilities:

1) Executive Support:

a) Manage calendar, meetings, and daily schedules of the Head of HR.

b) Coordinate travel arrangements, visas, and expense reports.

c) Handle confidential correspondence and communications.

2) Meeting & Event Management:

a) Organize internal and external meetings, including agenda preparation, minutes, and action tracking.

b) Support the planning and execution of HR events, workshops, and training sessions.

3) Documentation & Reporting:

a) Prepare presentations, reports, and briefing documents for internal use or leadership updates.

b) Maintain HR files, policy documents, and organizational charts.

4) Project & Initiative Coordination:

a) Assist in tracking HR projects, ensuring deadlines are met.

b) Follow up on action items and coordinate with cross-functional teams.

5) Stakeholder Engagement:

a) Serve as a key point of contact between the Head of HR and internal/external stakeholders.

b) Handle queries professionally and efficiently.

Qualification & Requirements:

a) Graduate in any discipline (preferred: Business Administration, HR).

b) 4+ years of experience supporting senior-level executives, preferably in HR or corporate functions.

c) Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

d) Excellent verbal and written communication skills.

e) Ability to handle multiple tasks, prioritize, and maintain confidentiality.

f) Positive attitude, proactive approach, and problem-solving mindset.

Desirable Skills:

a) Prior experience in real estate, consulting, or multinational organizations.

b) Knowledge of HR processes and terminology.

c) Exposure to HRIS or related tools will be an added advantage.
